What is the KYC & Nomination Update Form?

In the Post Office Savings Bank (POSB) ecosystem, keeping your Know Your Customer (KYC) records active and establishing a valid nominee are the two most critical safeguards for your deposits.

The KYC Update Form (also known as the customer details change form) is mandatory under Prevention of Money Laundering (PMLA) guidelines to keep savings accounts, public provident funds (PPF), or senior citizen schemes active.

For nominations, India Post relies on two official forms: 1. Form-13 (Variation/Cancellation): Used when you want to change, delete, or replace an existing nominee. 2. Form-14 (Fresh Nomination): Used to register a nominee *after* the account has already been opened, if no nominee was named initially.

Failing to maintain updated KYC details can lead to account suspension or freezing. Similarly, failing to register a nominee can lead to massive legal hurdles for your family members if they ever need to claim maturity deposits.

Understanding Nomination Rules at the Post Office

The Department of Posts operates under strict legal frameworks governed by the Government Savings Promotion Rules. Below are the key nomination guidelines:

  • Mandatory Registration: Under the revised rules, designating at least one nominee is mandatory for opening or maintaining any savings bank or investment account.
  • Nominee Capacity: You can nominate up to four individuals in a single account.
  • Allocation of Shares: If nominating multiple people, you must clearly specify the percentage share (e.g. 50% and 50%, or 25% each) allocated to each nominee. If no share is specified, all nominees are deemed to have equal shares.
  • Minor Nominees: You can nominate a minor child. However, you must appoint an adult guardian/trustee who will receive the funds on behalf of the minor in the event of your demise.
  • Power to Vary or Cancel: You have the absolute right to cancel or change your nomination at any time. This variation is executed by submitting Form-13 along with your original account passbook.

Importance of Know Your Customer (KYC) Updates

KYC verification ensures that the post office maintains valid records of identity and physical address for all account holders.

  • Periodic Re-KYC: Under anti-money laundering (AML) laws, India Post requires periodic Re-KYC updates. High-risk accounts are audited every 2 years, medium-risk every 8 years, and low-risk savings accounts every 10 years.
  • Regularizing Dormant Accounts: If a savings account has no deposits or withdrawals for 3 consecutive financial years, the status changes to *dormant/silent*. To reactivate a silent account, you must submit a fresh KYC form along with self-attested documents and your passbook at the home branch.
  • Mandatory PAN & Aadhaar Linking: As per the Ministry of Finance directives, all post office depositors must link their PAN and Aadhaar to their accounts. If you do not link these details, your accounts will be temporarily frozen, and interest payments will be suspended.

It is a common misconception that a nominee becomes the absolute owner of the account balance upon the depositor's death.

  • Nominee as Trustee: Legally, a nominee is merely a trustee appointed to collect the funds from the post office. The nominee is duty-bound to distribute the funds among the legal heirs of the deceased in accordance with the succession laws or the deceased's will.
  • Claim without Nomination: If a depositor dies without registering a nominee, claims up to โ‚น5 Lakh can be settled by the post office based on indemnity bonds and legal heirship certificates. For amounts exceeding โ‚น5 Lakh, the claimant must produce a Succession Certificate or Letter of Administration from a competent court, which is a lengthy legal process.
Shipping Passbooks Safely: If you are working or living away from your home town and need to mail your physical passbook, photos, and signed KYC/Nomination variation forms to your home branch for processing, you can secure and track the transit status of your speed post courier using our main India Post Tracking lookup page.

Frequently Asked Questions

What is the fee for changing a nominee at the Post Office?โ–พ

Registering a nominee for the first time is completely free of cost. However, if you are cancelling or changing an existing nomination using Form-13, a nominal processing fee of โ‚น50 + GST is charged by the post office.

How do I reactivate a silent/dormant Post Office account?โ–พ

To reactivate a dormant account (no transactions for 3 years), you must visit your home post office branch and submit a fresh KYC form along with self-attested copies of your Aadhaar card, PAN card, recent photographs, and your original passbook. You must also perform a deposit or withdrawal transaction to reactivate it.

What happens if a nominee dies before the account holder?โ–พ

If a nominee dies before the account holder, the nomination becomes void. The account holder should immediately submit Form-13 to cancel the old nomination and register a new nominee. If this is not done, the account will be treated as having no nomination upon the holder's demise.

Can I add multiple nominees with different shares?โ–พ

Yes, you can register up to four nominees. You must specify the percentage of the account balance each nominee is entitled to (e.g. 70% to your spouse and 30% to your child). The sum total of all shares must equal 100%.

Can a nominee operate the account while the holder is alive?โ–พ

No, a nominee has absolutely no right to operate the account or withdraw funds while the account holder is alive. The nominee's role only begins after the demise of the account holder, acting as a custodian to claim the deposit.
